Why Are My Emails Going to Spam?

(And How to Fix It)

Cold emails landing in spam is one of the most frustrating problems for B2B companies. Here’s why it happens and what you can do about it.Common Reasons:
• Poor technical setup (missing or incorrect SPF, DKIM, DMARC)
• Bad sending reputation / no warm-up
• Low-quality or spammy content (too many links, salesy language, etc.)
• Sending too fast without proper infrastructure
• Being on blacklists
The Fix:
Most companies need a proper Email Foundation. This includes:
• Correct SPF, DKIM, and DMARC records
• Professional inbox warm-up
• Clean domain configuration
• Ongoing deliverability monitoring
Once the technical foundation is solid, your emails stop fighting spam filters and start landing in the inbox. If you’re tired of low reply rates and emails never reaching decision makers, our Email Foundation or Outbound Infrastructure packages are built exactly for this problem.

How You Can Check Whether Your Domain or IP Is on a Blacklist

Blacklist sounds kind of serious. And it is. Being on an email blacklist can destroy your outbound campaigns. But first of all, what is a domain and what is an IP?Here’s how to check and what to do next. How to Check:
1. Go to sites like:
• mxtoolbox.com
• talosintelligence.com
• multirbl.valli.org
2. Enter your domain or sending IP
3. See if any major blacklists appear
What to Do If You’re Listed:
• Request removal (some auto-remove after time)
• Fix the root cause (usually bad technical setup or aggressive sending)
• Switch to proper infrastructure with warm-up and monitoring
Prevention is much better than cure. Our packages include proactive reputation monitoring so you stay off blacklists.

SPF, DKIM, DMARC Explained Simply

Honestly, if you aren't constructing email infrastructure on a daily basis, or needed to set up your own before, you have probably never heard of these abbreviations.
However, these terms are of major importance if you want to make sure your emails actually land, because they are the foundation of modern deliverability:SPF (Sender Policy Framework): Tells the world which servers are allowed to send emails from your domain.
DKIM (DomainKeys Identified Mail): Adds a digital signature to your emails so receivers can verify they weren’t tampered with.
DMARC (Domain-based Message Authentication, Reporting & Conformance): Tells receivers what to do if SPF or DKIM fails (e.g. quarantine or reject) and sends you reports.
Why They Matter:
Without proper SPF + DKIM + DMARC, Gmail, Outlook, and other providers treat your emails as suspicious and send them to spam, causing your hard work and important messages to simply... not be seen.
Most companies have these records either missing or configured incorrectly.Fixing them is usually the fastest way to improve deliverability. It's one of the first things we check in a Deliverability Diagnosis. If you’re not sure whether your SPF, DKIM, and DMARC are actually set up correctly (most people aren’t, that’s normal), that’s exactly what the diagnosis is for.

What Is a Domain Reputation Score?

Good question. Your domain reputation score is how email providers (Gmail, Outlook, Yahoo, etc.) view your sending domain.Scores typically range from 0–100 (higher is better). What affects your score?
• Sending volume & frequency
• Spam complaints
• Bounce rates
• Technical setup (SPF/DKIM/DMARC)
• Warm-up history
Why it matters:
Even if your content is great, a poor domain reputation means your emails go to spam or get blocked entirely.
Our Outbound Infrastructure package includes active monitoring and optimization to keep your domain reputation strong as you scale.
